The following are acceptable methods of verification:
Social Security Card
The SDX or BENDEX
TPQY
NUMIDENT - Once a month, around the 4th, a file is sent to Social Security Administration in Baltimore and Baltimore returns the information around the 15th of each month. The information contains social security number, last name, first name, sex of the individual, and date of birth (mm/yy). Numident indicator on client profile will be one of the following:
Blank – means the information has not been sent to Social Security Administration
I – Invalid social security number
S – Sent to Social Security Administration for verification
V – Valid social security number
If the Numident indicator is “I” on client profile, you will receive an informative alert stating why it is invalid. Compare the information in the system with the hard copy verification in the case file.
If the information in the system does not match the hard copy verification, correct the system. Example – The date of birth in the system does not match the hard copy verification; correct the date of birth in the system. For programs that do not require hard copy verification at the time of initial application, hard copy verification must be obtained.
If the information in the system is correct and verification of the hard copy information is correct, the individual must contact Social Security Administration to correct the information. Example – The social security number in the system is correct and the hard copy verification is correct but the number does not match Social Security Administration’s number, the individual must contact that agency to correct it.
Following are the alerts received either in TECS or Vision:
Situation - SSN not in file (Impossible SSN/never issued to anyone, or no SSN found if all 0's submitted).
Alert to Worker for TECS – ‘SSN Invalid’.
Alert to Worker for Vision –
Short – ‘SSN Invalid’
Full – ‘SSN Invalid for (keyword – client name). The SSN entered was never issued to anyone by SSA'.
Long – ‘SSN Invalid. SSN never issued'.
Situation - Name and DOB match, sex code does not.
Alert to Worker for TECS – ‘SSN Invalid-sex does not match’.
Alert to Worker for Vision –
Short – ‘SSN Invalid’
Full – ‘SSN Invalid for (keyword – client name). Name and Date of Birth match. Sex does not match with SSA records'.
Long – ‘SSN Invalid. Sex mismatch with SSA’.
Situation - Name and sex code match, DOB does not.
Alert to Worker for TECS – ‘SSN Invalid-DOB does not match’.
Alert to Worker for Vision –
Short – ‘SSN Invalid’
Full – ‘SSN Invalid for (keyword – client name). Name and Sex match. Date of Birth does not match with SSA records'.
Long – ‘SSN Invalid. DOB mismatch with SSA'.
Situation - Name matches, sex code and DOB do not.
Alert to Worker for TECS – ‘Sex & DOB do not match SSA.
Alert to Worker for Vision –
Short – ‘SSN Invalid’
Full – ‘SSN Invalid for (keyword – client name). Name matches. Sex and Date of Birth do not match with SSA records.’
Long – ‘SSN Invalid. Sex and DOB mismatch with SSA.’
Situation - Name does not match, DOB and sex code checked.
Alert to Worker for TECS – ‘Name does not match SSN’
Alert to Worker for Vision –
Short – ‘SSN Invalid’
Full – ‘SSN is Invalid for (keyword – client name). Date of Birth and Sex Match. Name does not Match with Social Security Information.'
Long – ‘Name does not match, DOB and Sex match'.
Situation - Input SSN not Verified; SSA located a SSN different from input, using single select routines and Verified on name and DOB.
Alert to Worker for TECS – ‘SSA has different SSN for client.
Alert to Worker for Vision –
Short – ‘SSN Invalid’
Full – ‘SSN is Invalid for (Keyword – client name). Social Security has a different SSN'.
Long – ‘SSN is Invalid. SSA has a different SSN for client'.
Situation - Input SSN not Verified. SSA located a SSN different from input, matching exactly on name and DOB, using alpha search routines.
Alert to Worker for TECS – ‘SSA has different SSN for client.
Alert to Worker for Vision –
Short – ‘SSN Invalid’
Full – ‘SSN is Invalid for (Keyword – client name). Social Security has a different SSN'.
Long – ‘SSN is Invalid. SSA has a different SSN for client'.
Situation - Input SSN not Verified. SSA located a SSN different from input, matching on name only (not DOB) using alpha search routines.
Alert to Worker for TECS – ‘SSA has different SSN for client.
Alert to Worker for Vision –
Short – ‘SSN Invalid’
Full – ‘SSN is Invalid for (Keyword – client name). Social Security has a different SSN'.
Long – ‘SSN is Invalid. SSA has a different SSN for client'.
Situation - More than 1 SSN found that matched on name and DOB.
Alert to Worker for TECS – ‘More than 1 SSN at SSA’
Alert to Worker for Vision –
Short – ‘SSN Invalid’
Full – ‘Social Security has more than one SSN on file for (Keyword – client name), based on the name and DOB’.
Long – ‘SSN is Invalid. SSA has more than 1 SSN'.
Situation - More than 1 SSN found that matched on name only.
Alert to Worker for TECS – ‘More than 1 SSN at SSA’
Alert to Worker for Vision –
Short – ‘SSN Invalid’
Full – ‘Social Security has more than one SSN on file for (Keyword – client name), based on the name only’.
Long – ‘SSN is Invalid. SSA has more than 1 SSN'.
